Job Summary:
The Staff Accountant / Bookkeeper is responsible for maintaining the financial records of clients, including reconciling accounts, preparing journal entries, and delivering reliable monthly financial reports in a timely manner. In addition to recording day-to-day financial transactions with precision, this role requires strong verbal and written communication skills. Staff Accountants regularly interact with clients to request missing information, answer questions about financial reports and reconciliations, and clearly communicate key observations for further review with fractional advisors. The ideal candidate is professional, analytical, and organized, with the ability to meet tight deadlines and a solid foundation in bookkeeping, typically acquired through hands-on experience and/or an undergraduate degree in accounting or a related field.
Duties/Responsibilities:

This position will provide a variety of accounting activities. Responsibilities for this position include:
* Auditing the coding, payroll entries and reconciliations prepared by our back-office team to ensure accuracy and identify discrepancies.
* Performing designated mid-month and end-of-month procedures for assigned clients in accordance with standard operating procedures.
* Closing the books and producing the monthly reporting package by the 8th business day of the following month.
* Addressing Quality Control review notes by fixing and documenting resolutions timely in the designated system.
* Reviewing newly onboarded accounts thoroughly to get familiarized with client books, documenting all pertinent information in the respective Client Info Sheet (CIS), and setting up QBO books properly, particularly with regard to beginning balances and payroll liabilities.
* Ensuring a 3-way trust reconciliation is prepared monthly for each client and add explanations for variances where possible. Persistently following up to ensure clients are addressing variances timely.
* Acting as the main point of contact with clients for missing documentation, responding to questions about financial reports and 3-way trust reconciliations, and professionally communicating any issues or observations related to their financial records.
* Clearly articulating key observations from financial reports that clients should review with their fractional CFO, controller, or legal management advisor, without offering independent financial advice.
* Demonstrating professional persistence in communicating with clients to obtain missing documents or clarifications needed to complete monthly bookkeeping and to resolve trust discrepancies promptly.
* Drafting clear, professional written communications to document requests, explanations, and follow-up actions in internal systems and in messages to clients or advisors.
* Identifying and documenting 3-way trust discrepancies timely.
* Ensuring proper documentation and filing of documents are in place according to policy.
* Providing support for financial analysis by answering questions and/or preparing reports as requested by HTM Controllers/Advisors on behalf of members.
* Participating in client and/or advisor conference calls to explain/answer any bookkeeping questions as deemed necessary, or to request necessary information.
* Escalating any issues promptly before they become bigger issues and/or before member escalates.
* Participating in training new technical staff by permitting them to shadow you, answering their questions and providing feedback to management team.
* Recording daily time by client in the applicable system.
* Completing year-end closing and post year-end tax adjusting entries.
* Obtaining QuickBooks Certification and attending all in-house mandatory trainings for ongoing education.
* Assuming additional tasks and responsibilities as assigned.
